Common questions
Why can't I just download a CSV from my credit card issuer?
Most issuers cap CSV exports at 90 days, strip merchant categories, or only offer PDF for closed accounts and joint cards. SheetFerry works on any statement PDF, no matter how old.
Does it work with Amex, Chase, and Capital One statements?
Yes. Our AI handles every major US issuer (Amex, Chase, Citi, Capital One, Discover, BofA, Wells, Barclays, US Bank, Synchrony) plus international cards. Layouts vary—the AI adapts.
Will it capture merchant categories and foreign transactions?
Yes. We extract date, merchant, category (when present), amount, and currency. Foreign transactions and FX fees are preserved as separate rows.
Is it safe to upload a credit card statement?
Files are processed in memory and deleted immediately after conversion. Nothing is stored, indexed, or used for training.
What happens to a statement you upload
From the PDF your client emailed you to reconciled rows in your workbook.
1. You upload the PDF
Drag in a file up to 50MB, or select several at once for batch processing. The file goes straight into memory on our servers — it is never written to permanent storage, and everything is discarded as soon as your download is ready. Digital PDFs and scanned or photocopied pages are both accepted.
- Single file or batch upload
- Scanned pages handled by AI vision
- Files deleted immediately after processing
2. You choose how it should be read
Simple extraction pulls text and table structure directly from the PDF layer — fast, cheap, and accurate when the document was generated by software. Complex AI extraction runs a vision model over the page image instead, which is what you want for merged cells, multi-column layouts, rotated tables, or anything scanned. The estimated credit cost appears before you commit.
- Simple: 1 credit, best for clean digital tables
- Complex AI: 3-10 credits, scaled by page count and difficulty
- Cost estimate shown before conversion starts
3. The AI maps the document
Smart Template Detection checks whether the document matches a known layout — a bank or credit card statement, a rent roll, a W-9 or 1099 — and applies the right column mapping automatically. Anything unrecognized still gets generic table detection: each table found becomes its own worksheet, with headers preserved and rows aligned.
- Recognizes common statement and tax-form layouts
- One worksheet per detected table
- Header rows and multi-page tables stitched together
4. You get spreadsheet data back
Download the result as an .xlsx file, or send it straight to Google Sheets with one click. Optional extras run on the same upload: an AI document summary as a Word file (brief overview or detailed analysis), and Visual Analysis, which builds charts and trend lines from the extracted numbers.
- Excel (.xlsx) download or one-click Google Sheets export
- Optional AI summary delivered as a Word document
- Optional Visual Analysis charts and exportable PDF report
What happens to your files
Processing is in-memory and files are deleted right after conversion. Nothing is retained for training, nothing is shared, and there is no permanent copy of a client statement or an appraisal draft sitting on a server. That matters when the documents belong to someone else.
How credits work
Every plan comes with a monthly credit allowance. A simple conversion is 1 credit; AI-powered conversion is 3-10 depending on complexity; Visual Analysis is 8; spreadsheet analysis is 4-8 by data size. You always see the estimate first, and unused features never cost you anything. Extra credits can be purchased at any time without changing plans.
Statement conversion in a real practice
Bookkeepers run this every month end. Appraisers use the same path for operating statements and loan documents.
Turn comps, rent rolls and assessment PDFs into a working grid
Appraisal work lives inside PDFs that were never meant to be analyzed: county assessment cards, CoStar and MLS exports, rent rolls, operating statements, closing statements and prior narrative reports. Retyping those into a comparable-sales grid is where the hours — and the transcription errors that get challenged at a hearing — come from. SheetFerry reads the tables the way a person does, keeps the rows and columns intact, and hands you a spreadsheet you can start adjusting immediately.
Documents it handles every week
- Commercial and residential appraisal reports (narrative and form)
- Rent rolls, lease abstracts and tenant schedules
- Operating statements, T-12s and pro formas
- County assessment cards, tax bills and property record cards
- CoStar, LoopNet and MLS comparable exports
- Closing/settlement statements and purchase agreements
How the workflow runs
- 1Upload the report. Drop in a single PDF or a stack of them. Scanned pages are handled by the AI vision path, so a photocopied assessment card still comes back as structured rows.
- 2Pick simple or AI extraction. Simple extraction is fine for clean, digital tables. Choose the AI method for merged cells, multi-page rent rolls, or anything with an irregular layout. You see the estimated credit cost before anything runs.
- 3Consolidate the comps. Batch conversion can merge every property into one consolidated worksheet instead of one tab per file, which is exactly the shape a sales-comparison or income grid needs.
- 4Summarize and support the value. Optional AI summaries produce a written overview of lease terms, income drivers or unusual line items — useful when you are writing the reconciliation section or preparing to defend a value.
What changes
- A comparable grid built in minutes instead of an afternoon
- Fewer transcription errors in figures you have to defend
- Consistent column structure across every comp you pull
- Charts and trend visuals for income and expense analysis
Close the month without retyping a single statement
Month-end is a pile of PDFs: bank and credit card statements from clients who will not export CSV, vendor invoices, merchant payout reports, payroll registers and loan statements. SheetFerry's Smart Template Detection recognizes the common statement layouts and returns clean date / description / amount columns that drop straight into your reconciliation workbook or import template.
Documents it handles every week
- Bank statements from any institution, including scanned copies
- Credit card statements (Chase, Amex, Citi, Capital One and more)
- Vendor bills, receipts and itemized invoices
- Payroll registers and benefit summaries
- Merchant processor and marketplace payout reports
- Tax forms: W-9, W-2, 1099-NEC and 1099-MISC
How the workflow runs
- 1Collect the client's PDFs. Upload the whole month at once. Batch conversion keeps each statement identifiable while still producing one workbook you can hand to your team.
- 2Let template detection map the columns. Recognized statement formats come back with transaction date, description, reference and amount already separated — no text-to-columns, no manual splitting of debit and credit.
- 3Reconcile in your own tools. Download .xlsx or push straight to Google Sheets, then paste into QuickBooks, Xero or your firm's import template. The output is plain spreadsheet data, so nothing locks you in.
- 4Review the anomalies first. An AI summary flags the large or unusual items in a statement so you can review exceptions before you reconcile line by line.
What changes
- Statement entry that takes minutes per client, not hours
- Uniform column layout across every institution
- Clean audit trail — files are processed in memory, never stored
- Capacity to take on more clients without more data entry time
